Velocity Tax Group ("we," "us") provides tax preparation, tax advisory, and accounting services. This policy explains what information we collect through our website and services, how we use it, and the choices you have.
Information we collect
- Contact information you provide — such as your name, email address, and phone number — when you book an appointment, submit a form, or chat with our website assistant.
- Tax return information you provide as a client so we can prepare your returns and advise you — documents, records, and related details, handled under the rules described below.
- Basic technical information (such as browser type and pages visited) used to keep the site working and secure.
How we use your information — and tax-return confidentiality
We use your information only to deliver and support the services you engage us for. We treat tax-preparation information as protected "tax return information" under IRC §7216 and as nonpublic personal information under the Gramm-Leach-Bliley Act. We do not use or disclose your tax return information for any purpose beyond preparing and supporting your return and related work — including for marketing of non-tax services — except with your separate written consent (as §7216 requires) or as permitted by law.
U.S.-only processing; no AI training
All of your information is processed and stored within the United States and is not transferred outside the U.S. Your information is not used to train any artificial-intelligence model. These commitments are contractually required of every service provider we use.
AI assistance, human decisions
We use AI tools to help classify, extract, organize, and draft. A credentialed professional reviews and signs every return; AI never makes the final determination on your taxes.
Meeting recordings
Phone and video meetings may be recorded and transcribed for our work product and quality. We provide notice at the start of any recorded meeting; continuing to participate constitutes your consent. Recordings are confidential and protected like all other client information.
Text messaging (SMS)
Clients may opt in to service text messages (such as document upload requests, appointment reminders, and account status updates) by providing a mobile number in our client portal and consenting in their engagement letter. Messaging is not a condition of receiving our services.
No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Text messaging originator opt-in data and consent are never sold or shared with any third party.
Message frequency varies. Message and data rates may apply. Reply STOP to opt out at any time, or HELP for help.
Website chat assistant
Our website chat assistant ("KevinAI") is an AI assistant — it is labeled as such and does not provide tax advice. Conversations are processed to respond to your questions and to help schedule calls, and may be reviewed by our team. Chat transcripts from visitors who do not become clients are retained for up to 90 days. The chat is protected against automated abuse by Cloudflare Turnstile; that processing is described in the Cloudflare Turnstile Privacy Addendum.
Service providers (subprocessors)
We share information only with U.S.-based providers contractually bound to safeguard it, use it solely to serve you, process it only in the U.S., not train on it, and receive the written notice required by IRC §§6713/7216: Supabase (database & document storage), Netlify (hosting & functions), Anthropic (AI processing — no training on our data), Fathom (meeting recording & transcription, with participant notice), Resend (transactional email), Twilio (text messaging), Google Workspace (email and calendars), and Cloudflare (bot protection). We do not sell your personal information.
Security
We maintain administrative, technical, and physical safeguards under our Written Information Security Plan and the FTC Safeguards Rule, including multifactor authentication, row-level access controls, encryption in transit and at rest, and an immutable audit log. No system is perfectly secure; in the event of a security incident, we will notify affected individuals and authorities as required by law.
Data retention
We retain client records consistent with IRC §6107 and applicable law (generally the current plus prior tax years; minimum three years), and securely dispose of information no longer needed for a legitimate business or legal purpose.
Your rights & choices
You may opt out of text messages at any time by replying STOP. Depending on your state (including under the Texas Data Privacy and Security Act and, for California residents, the CCPA), you may request access to, correction of, deletion of, or information about our handling of your personal information, and may limit or revoke any optional consent. To exercise these rights, contact us at jon@etci.io or through our contact page. We do not sell or share personal information for cross-context behavioral advertising.
Cookies
Our site uses essential and standard analytics cookies. You can control cookies through your browser. We honor applicable "do not sell/share" and opt-out signals.
Children
Our services are for adults; we do not knowingly collect information from children under 18.
